Starting this month, the Office of Head Start (OHS) will resume pre-pandemic practices for tracking and monitoring enrollment. ChildPlus has several reports and monitoring tools to help your agency evaluate your current enrollment and the probability of filling a vacancy.

Make sure your setup accurately reflects your current funded enrollment for each location before running reports. Funded enrollment is distributed in Setup >> Agency Configuration >> Program Info >> Classrooms tab. The funded enrollment count associated with each classroom is used to determine if there are vacancies. Use the Dashboard to view the number of slots filled or vacant for each location. Send copies of the Dashboard view to staff and policy council members via email. Run Report 2250 – Enrollment and Waitlist Charts to view the current enrollment and waitlist.

Your agency has a better chance of filling a vacancy with a waitlist loaded with eligible applicants. Consider taking in applications all year long. Update the waitlist regularly by removing applicants that are no longer eligible or interested in your program. To do this, change the enrollment status to Abandoned. Monitor the waitlist with Report 2006 – Management Report – Waitlist. To view the waitlist along with detailed eligibility criteria, run Report 2025 – Enrollment Priority Listing.
